At present, to automate your availability updates, we have to use two external services, Google Sheets and IFTTT. Both of these are free to join and if you have an android phone, you will already have an account for Google Sheets. Before continuing, you will need to have an account for each of these services.
- First of all you will need to request access to the shared Crew Diary spreadsheet using the form on the right. You will receive an email once you have been granted access.
- Open up Google Drive and sign in with your Google account. Click on the red NEW button on the left hand side and choose Folder in the drop down menu. Name the new folder RNLI.
- Click on 'Incoming' on the left hand side and you should now see the Crew Diary spreadsheet that you have been given access to.
- Right click on the Crew Diary spreadsheet and choose 'Move to' in the menu. Select the RNLI folder you have just created and choose 'Move'.
Note: You don't need to open up or modify the spreadsheet as this will be done by automatically by IFTTT, but you can modify your details on the 'Crew List' tab if you so desire.
There are currently two types of auto updates available, location based and Date and Time based.
If you enter the area described on the map, you will be marked as 'Available' If you exit this area, you will be marked as 'Unavailable'. You need to add both the 'Available' and 'Unavailable' recipes below.
Note that these only work on Android phones, the IFTTT app must be installed and signed into, your phone must have an internet connection and location services must be enabled on your phone. If you would like a similar function for iPhone, just let one of us know.
Date and Time
Once again, there are two recipes, one to mark you as available and one to mark you unavailable. So, for instance, if you work every weekday between 8AM and 4PM, you can configure the 'Unavailable' recipe to run at 8AM Mon - Fri and the 'Available' recipe to run at 4PM Mon-Fri. You can have multiple schedules, simply by adding the recipes multiple times, so for example, you could add one 'Unavailable' recipe and configure it for 8AM on Mon and Tue and another 'Unavailable' recipe and configure it for 11AM on Wed-Fri. Note, you will have to modify the name of the recipes after you add them as you won't be able to have two recipes with the same name.
